Hostos Zoom offers users the ability to record meetings and store these recordings on Zoom servers (Also referred to as “Recording in the cloud”). Users need to be mindful of the conditions around the services offered by Zoom.

Zoom cloud recordings are periodically deleted by Zoom whenever storage space limits are approached to ensure that there is no disruption in service. Each user has a limited allowance of space as set forth by Zoom and based on CUNY’s licensing agreement and is not unlimited. Storage on Zoom was never offered as a permanent storage solution.

Downloading and Backing Up Zoom Cloud Recordings

If the recordings are of significance then it is the responsibility of the user to ensure that these files are downloaded/backed up BEFORE they are deleted from the Zoom cloud server. To download the recordings, please follow the steps below:

  1. Log into your Zoom web client Help Icon (not the Zoom App).
  2. Click on the gear icon (3 horizontal dots) Help Icon on the right from the recording title and click on download.
  3. Video files typically take up a very large amount of disk space. Hostos desktops are primarily designed to store work-related files and not video files. Please be mindful, if you run out of disk space this will prevent you from using your PC.

CUNY provides access to OneDrive and Dropbox as alternative storage locations but every user must comply with the CUNY Acceptable Use of University Data in the Cloud at all times.

Recovering Deleted Zoom Cloud Recordings

Zoom periodically deletes older recordings to prevent an impact on storage limits and it notifies users via email before the recordings are deleted. However, the auto-deleted recordings are kept in the trash folder for 30 days from the time they were deleted. To recover the recording, follow the steps below:

  1. Log into your Zoom web client Help Icon (not the Zoom App).
  2. Make sure that the cloud recordings tab is selected and click on the trash link at the top right and click on the trash icon. Help Icon
  3. ​Locate the recording in question and click on the Recover link on the right.
  4. Clik on the Recordings link on the left menu again.
  5. Download and back up the recording.
