Advancing Faculty Training with Brightspace Guidelines and Custom GPT
With CUNY’s adoption of the Brightspace Learning Management System (LMS), Hostos was one of the first CUNY campuses to make the transition. This involved developing the Hostos Brightspace Guidelines as one part of a broader effort. These guidelines embody EdTech’s dedication to academic excellence and pedagogical innovation, offering faculty tailored support to excel in online teaching.
The transition to Brightspace presented a unique opportunity to align digital tools with the specific needs of Hostos faculty and students. Recognizing the opportunities to customize CUNY’s and D2L’s existing training materials, we developed guidelines that integrate institutional policies and high-impact teaching practices, focusing on inclusivity, engagement, and accessibility. Currently in beta, a Custom GPT that heightens the effectiveness of the guidelines is being tested as a virtual assistant that provides faculty with real-time support, addressing technical and pedagogical challenges.
The guidelines and GPT were shaped by extensive analysis of existing Brightpace resources and faculty feedback. By addressing common challenges, such as fostering engagement, the project aligns with key pedagogical frameworks and policy requirements:
- RSI – ensuring compliance with federal guidelines while enhancing communication.
- Accessibility – Empowering faculty to create equitable learning environments.
- UDL – supporting diverse learning preferences by integrating multiple means of representation, engagement, and action to meet the needs of all learners.
Innovation Through Custom GPT
A Custom GPT, titled Hostos Brightpace Guide, enhances the effectiveness of the guidelines. Still in development, this AI-powered assistant offers faculty real-time support for both technical and pedagogical needs. The Custom GPT includes the following features:
- Custom Knowledge Base. The GPT is enhanced with training materials, including PDFs from our existing resources, and URLs to specific posts on our website. This enables the GPT to present the exact resources needed in response to user queries.
- Step-by-Step Guidance. The GPT complements the guidelines by offering personalized, on-demand assistance for navigating Brightspace tools like Discussions, Announcements, and Assignments.
- UDL Integration. Using principles of Universal Design for Learning, the GPT suggests diverse instructional strategies, such as incorporating multimedia content through features like “Insert Stuff.”
To preserve privacy, the Custom GPT is not yet active for the broader Hostos community as we await the licensing for the large language model (LLM). Currently, it is being tested in a controlled environment to ensure compliance with privacy policies and effectiveness.
Below, we introduce the custom system prompt used for the GPT. We invite readers to test this prompt within their system environments and share their experiences and results in the comments section of this blog.

Ensure responses are direct, starting with action verbs, and avoid any unnecessary details or fluff. Suggest to the user to attach a screenshot in the chat for better assistance. DO NOT answer questions that you do not have answers to in the knowledge base. Student questions should be referred to customer service. # Steps 1.
